Social Collaboration (v10.xx)

Project Live!’s navigation is very intuitive. All navigation elements are displayed in a single pane listing the communication stream for all of the different types of messages.


It is possible to filter the list of messages using the options at the top of the Project Live! social collaboration window pane. These are described below:



Filter by message type





Display comments (notes) and questions


Display notifications

       Displays alerts

Displays actions requests



To select any one of the elements simply click on the icon.

If none of the options are selected Cerri Project behaves as if all of them are selected.

Filter "Unread"


"Unread" displays only unread documents.

"All" displays all read and unread messages.




Timeline




Displays all messages created within the last 24hrs

Displays all messages created within the last 48 hours.

Displays all messages created within the last 7 days

Displays the complete history of all messages


You can combine different filters as desired. Next to the type icons, two additional icons are available:

  • Refreshes the list of elements displayed in Project Live!.

  • If any new messages have been sent since the last refresh, a red square with a number appears, indicating the number of new messages.


Messages are displayed in order of receipt, with the most recent at the top.





Project Live! Message Format


Project Live!’s messages use plain, "current" language to ensure easy interpretation by the user. All messages follow the same formatting per type. All blue text is either an active link or an action.


Notifications


A notification is commonly used to inform users of an action that has taken place - e.g., a request has been cancelled or a new document has been created and assigned.

  • Type of record the message applies to – e.g., A deliverable.

  • Title of the record – e.g., "To be deleted".

  • Action that triggered the message – e.g., "Cancelled".

  • User who performed the action – e.g., "John Carpenter".

  • Project name - e.g., "My first project".

  • Date - displayed in the top right corner.

  • Message type icon - also in the top right.


Marking a notification as "Read"

Hover the mouse over the date to turn it into a clickable action to mark the message as "read" and remove it from view.


Critical Alerts

  • Type of alert - e.g., "EAC Cost is over budget"

  • Project manager – e.g., "John Carpenter"

  • Project name - e.g., "Video security system"

  • Date - top right corner

  • Icon - top right corner next to the date, usually indicating a warning sign


Marking an alert as "Read"

Same action as for notifications - hover the mouse over the date to turn it into a clickable action.





Workflow actions


"Actions" are workflow-driven items that require user action (approve, deny, review, etc.)

  • Type of record – e.g., "Contract"

  • Title of the document - e.g., "New Network contract"

  • Current status - e.g., "To approve"

  • Project name

  • Date - top right corner

  • Icon - top right corner


If actions are required, they appear at the bottom of the message (e.g., "Approved", "Denied").

Clicking one will open a dialog box to confirm and, if the workflow allows, assign a user or add comments.



Note: Workflow actions cannot be marked as "Read".


Approving timesheets and expense reports





  • Type of request - e.g. timesheet or expense report

  • Resource submitting - e.g., "John Carpenter"

  • Total hours/costs reported - e.g., "0 hours"

  • Week number – e.g. "Week 27" (clickable to open timesheet)

  • Date - top right corner

  • Icon - top right corner

  • Action buttons - "Approve" or "Deny"

If denied, a dialog box opens for entering reasons.




If approved, a confirmation dialog appears.



Note: Timesheet or expense report approval requests cannot be marked as "Read".



Notifications for refused timesheets or expense reports




  • Refusal message with total hours or costs

  • Week number – e.g. "Week 27" (clickable to open timesheet)

  • Date - top right corner

  • Icon - top right corner

  • Reason for refusal - e.g., "No entry for Friday"



Discussions & comments


Comments are created from records (documents), but are also shown in Project Live!.

Replies can be made directly in Project Live!.

Discussion messages are regrouped message documents. The header includes:



  • Subject - e.g., "In time"

  • Name of the person the discussion has been initiated with - e.g., "Admin Master"

  • Project - e.g., "AI Project I"

  • Record/document title (if applicable)

  • Date - top right corner



The message string shows all replies in sequence. Each response has the same format:





If a discussion has many comments, only the first and last are shown. Click "Show the comments" to expand or "Collapse the discussion" to reduce.




Marking a discussion as "Read"

It is possible to mark a discussion as read and remove it entirely from Project Live!. When hovering the mouse cursor over the date, it turns into an action that you can confirm simply by clicking on it.




Answering a reply request

It is possible to format a comment so that it is actually a request for a response. To do so, simply specify one or more recipients and a response due date. As a result, Cerri Project will interpret the comment as a "request for response" rather than a regular discussion.



In Cerri Project, requests for responses are displayed in the same format as discussions. However, the final comment in the string includes the following three actions:

  • Approve, as a positive response

  • Deny, as a negative response

  • Ignore, no response





NotePay attention to the sign at the top right-hand corner of the message. This indicates the importance level of the message and can be set by the initiator of the conversation.


Your personal Project Live! stream


Project Live! is the central location where all of a user’s collaborations on different projects appear. Users can interact directly from the Project Live! screen to ensure smooth execution of processes and information flow.


Accessing the Project Live! stream from a project

The [Project Live!] tab in the Project Description is the central location for all actions and collaboration related to that specific project. It is the life of the project.
