Task Card Actions

In this article, you can learn how to view and edit Task cards: set task type, edit task priority, set/edit start & end dates, assign human or material resources, add/edit a description, track progress manually, add comments and attach files to the Task card.

How to view Task cards

  • Select the Task row you wish to view on the My Tasks or All tasks pages of the Task Application.

 

 

  • Click on the task you wish to view the Task Card of.

 

 

By default, a new task is assigned the status Requested. When your task has a Requested status, you can edit most of the details on the Task card. 

 

How to change the Task name

Select the Task name on the Task card and enter the desired changes.

 

How to set the Task status

To change the Task status, click on the status field in the top right corner of the Task card and select the desired status. You can complete the task with a click by selecting Completed

 

How to set the Task type

You can set the Task type by clicking on the Task dropdown above the Task name on the Task card.

 

 

Each Task type has a unique icon

  • Userstory
  • Bug          
  • Task          
  • Issue      

 

  • When the Task Status is set as Requested or In Progress, you can add/edit the Task type.  
  • When the Task Status is set as Completed or Cancelled, you can not add/edit the Task type. 

How to set the Task priority

When your Task status is set as Requested or In Progress, click on Add next to the Priority field on the right of the General tab, and choose the desired priority from the dropdown menu. You can also delete a priority by selecting the   icon next to the priority row.

 

 

  • When the Task Status is set as Requested or In Progress, you can add/edit the task Priority.  
  • When the Task Status is set as Completed or Cancelled, you can not add/edit the task Priority.

How to set or edit the Start & End dates of a task

Select the Start date or End date link on the right of the General tab and select the desired dates from the calendar dropdown.

 

 

  • When the Task Status is set as Requested or In Progress, you can set/edit both the Start and End date. 
  • When the Task Status is set as Completed or Cancelled, you cannot set/edit the Start and End date.

How to assign human resources to a Task

When your Task status is set as Requested or In Progress, click on the Task card’s Add assignee link. 

 

 

Click on the search field and add a name or email address. The required resource will be displayed. You can only add those teammates that have already been added to the project’s Resources section.

 

 

On the pop up window that appears, you can plan effort for each assignee.

 

 

On the Add assignee pop up you can search for available resources by starting to type the name or email of the assignee in the Add name or email address field.

 

 

You can plan effort for each assignee. Added assignees will be displayed on the top of the list of resources. Here you can also remove resources unless the resources have already reported time.

 

 

Select the Add button to save changes. 

How to edit Planned effort

  • Select the Edit link on the TEAM & EFFORT section on the right of the General tab on the Task card.

 

 

  • Select the Planned field next to the assignee and enter the desired changes. Click on the Save button to save changes.

 

 

  • You cannot edit Planned effort when an assignment has been completed.

 

 

  • Select the icon next to an assignee’s name to remove them from a task.

 

 

  • To add time to an assignee, hover over the assignee’s name on the right of the General tab of the Task card. Select the Add time link. You can choose a date to add time to but it cannot be earlier than the Current Start date or the previous week.

 

 

  • The following rules apply to the Time field.

 

    • You can use  / – ; : as separators.
    • The maximum value for a day is 24 hours.
    • Incorrect inputs will clear the field.
    • Minimum value that can be added is 1 minute.
    • Maximum value that can be added is 24 hours.
    • Any value above 24 hours will be interpreted as 24 hours.

 

    • Values between 1 and 59 will be interpreted as minutes.
    • The values 60 and 99 will be interpreted as 1h and 1h39m.
    • The values 123 and 1234 will be interpreted as 1h23m and 12h34m.
    • The value 1:1 will be interpreted as 1h1m; and 1:61 as 2h01m.
    • The values 1h and 30m will be interpreted as 1 hour and 30 minutes (but you cannot type both e.g. 1h30m).
    • The value 0.1 will be interpreted as 6 minutes (0.2 would be 12m, 1.5 would be 1h30m, 7.2 would be 7h12min).
    • The values 1.0 and 1,0 will be interpreted as 1 hour.
    • The value :30 will be interpreted as 30 minutes.
    • The values .5 and .25 will be interpreted as 30 minutes and 15 minutes.

 

  • You can check the information about planned, reported and remaining time of the assignment from the top of the popup. The Remaining time calculates the difference between Planned and Actual time.

 

 

    • If Planned time is 0 then Remaining time is 0;
    • If Planned time is less than Actual time, then the Remaining time is 0 (for the assignment only);
    • If Actual time is less than Planned time or 0, and the assignments are completed, then the Remaining time is 0;
    • The assignee can comment in the Comment field.
  • Click on the Open in Time App button to open in the Time application.

 

 

  • When the reported time has already been specified, you can edit the time of the week’s assignments. Select the Edit link on the TEAM & EFFORT section on the right side of the General tab on the Task card. The Edit time link will appear next to the Add time under the selected resource.You can edit the week’s time, but not earlier than the current start date or the Monday of the previous week.

 

 

To complete the assignment on the TEAM & EFFORT section, click on the check button next to the chosen resource. 

 

 

Click on the   icon to remove an assignee – only possible if they have no Reported time.

 

 

Click on the Add material resource link to add a material resource. You can plan effort, add time, edit time for the material resources in the same way as for human resources.

 

 

 

  • When the Task Status is set as Requested or In Progress, you can add/edit the assignees to the Task
  • When the Task Status is set as Completed or Cancelled, you can not add/edit the assignees to the Task.

 

How to add material resources to a Task

Select the Add resource link on the Task card in the MATERIAL RESOURCES section.  Click on the search field and add the first few symbols of the desired resource’s name. The corresponding resource will be found. You can only add those material resources that have already been added to the Resources section of the project.

 

 

  • When the Task Status is set as Requested or In Progress, you can add/edit the material resources to the Task.
  • When the Task Status is set as Completed or Cancelled, you cannot add/edit the material resources to the Task.

How to add a description to a Task

Select the field on the DESCRIPTION section and enter a description on the Task card. All your data will automatically be saved.

 

 

 

  • When the Task Status is set as Requested or In Progress, you can add/edit the description to the Task. 
  • When the Task Status is set as Completed or Cancelled, you cannot add/edit the description to the Task.

How to track the progress of the task manually

When the Task status is set as Requested, Completed, or Cancelled, you cannot manually change work progress: because it has not yet begun, has been completed or has been cancelled. When your task status is In Progress, the hours completed that are tracked automatically and the work completed can be changed manually by the project manager or task owner.

When the Task status is set as Requested, the progress table is in standby mode displaying the planned and current date.

 

 

When the Task status is In Progress, you can manually change work progress as a Project manager or Task owner. To do this, you should:

  • Select the Work completed slider 
  • Set it to the desired value

 

 

The Hours completed will be tracked automatically.

When the Task status is Completed, you cannot change the work progress. The Work completed slider will show the actual percentage achieved. The number of completed hours will be taken as 100%. The progress table displays the exact number of hours worked, the planned and current date, the Actual/Reported and Remaining times.

 

 

When the Task status is Canceled, you cannot change work progress manually. The Work completed slider shows the actual percentage achieved. The progress table shows the exact number of hours worked, the planned and current dates, the Actual/Reported and Remaining times.

 

How to add comments to a Task

You can add as many comments as needed to a task. To do this, enter your comment on the field at the bottom of the General tab and click the Send button. 

 

How to attach files to a Task card

There are two ways to attach files to the Task card.

 

  • On the bottom of the General tab, you can attach files to the Task card from the link or upload files from your device.

To do this:

    • Select the attachment icon
    • Choose the source of your attachment.
    • Select the Send button 

 

 

  • You can attach files or drag & drop them on the Attach file Or Drag & Drop field on the Attachments tab.

To do this

    • Select the Upload button and choose files to upload from your device

 

 

    • Or drag & drop files from the window on the Attach file Or Drag & Drop field.

 

How to review modifications made to a task

You can view the history of modifications made to the working elements on the task card. All the information concerning any updates or changes made are added to the activity feed, including the date, the author and the fields that were modified. 

The activity feed on work items is displayed in the comments section in the following format.

 

 

  • The Activities are displayed in grey, without an avatar.
  • Comments and attachments are displayed with avatars.
  • Information concerning the item is displayed on the Activity section: who creates and edits the task, attachments added, task assignments, added time, completed assignment, etc.
  • The Activity record is displayed in real-time.

 

You can review both or select only comments or activities.
