Intro to the Task

This article will help you learn how to navigate the Task application. The Task app helps you to organize your current workload and manage active projects. The Task application has three views you can choose from on the left sidebar: My Tasks, All Tasks and Tasks by Project You can go to the Task application by selecting the Task icon on the Home page.     Or click on the Task icon from the main menu.     By default, Cancelled and Completed tasks are not displayed on the Task Application  
  • You can show Cancelled or Completed tasks by clicking on the three dots icon on the upper right corner.
   
  • Select arrow icon on the bottom left corner to collapse the left sidebar and make the screen view wider.
   
  • Click on the three dots icon   next to the column names to choose the columns you want displayed from the dropdown menu. Click the Apply button to apply changes.
   
  • To add a Task, click on the + Add Task and enter the Task name.
   
  • Choose the Start and End date of your Task.
   
  • Choose your Task type: Task or Deliverable. Deliverable type is allowed for Waterfall Projects only.
   
  • Select the Project related to your Task
   
  • You can create an Independent Task that is not related to any Project
   
  • Select Add button

My Tasks

The My Tasks view displays a list of all active tasks assigned to you with an In Progress status and belonging to an active project. You and other team members can add tasks to your My Tasks list. If you create a task from the My tasks view, it will automatically be assigned to you.

 

 

Each Task row contains the following fields:

 

  • Task name – with the check button for task completion.
  • Start date – the launch date of the planned task. 
  • Due date – the end date of the planned task.
  • Planned effort – the scheduled number of hours allocated for the task.
  • Reported effort – the actual number of hours spent on the task.
  • Owner – the name of the project owner.
  • Assignees – the icons of all assignees working on the task.
  • Project – the name of the project associated with the task.
  • Status  – the status of the task.

 

In the My Tasks list, you can mark your part of the task as completed by checking the check button on the grid immediately to the left of the Task name. If you are the only one working on this task, the task’s status will immediately change to Completed, and cannot be edited.

 

When a task has a Completed status, it is no longer possible to add time or change the reported time. If the task has other uncompleted assignments, then the task’s status will not change and you can change your assignment to incomplete again.

 

When an assignee has completed their assignment, it is demonstrated with a green circle around their icon.

 

All Tasks

 

The All Tasks view is a list of all the tasks created by you and/or assigned to you. This tab has the same columns as the My Tasks view. The tasks assigned to you will have a check button by the task row. If the task row has not been assigned to you, the check button is missing.

 

The Task row has the following fields:

 

  • Task name – with the check button if the task is assigned to you; without it if not.
  • Start date – the launch date of the planned task. 
  • Due date – the end date of the planned task.
  • Planned effort – the scheduled number of hours allocated for the task.
  • Reported effort – the actual number of hours spent on the task.
  • Owner – the name of the project owner.
  • Assignees – the icons of all assignees working on the task.
  • Project – the name of the project associated with the task.
  • Status  – the status of the task.

Tasks by project

The Tasks by project view is a list of all the tasks created by you and assigned to you with an In Progress status, and grouped by projects. You can select the desired project from the left sidebar. You can also search for a project by selecting the search icon   and starting to type the project’s name in the search field.

 

 

The tasks assigned to you will have a check button next to them. The check button will not be present next to task rows that have not been assigned to you.

  • Due date – the end date of the planned task.
  • Owner – the name of the project owner.
  • Assignee – the icons of all assignees working on the task.

Cancelled and Completed tasks are not displayed on the Task App.
