To create a new generic document:
- Click on "Create" in the navigation menu
- Select "Other documents".
Note: A new generic document can also be created using the "Create" button on the menu action bar and selecting "Other document".
- From the content window, click on the [Create] menu and select “Other documents.”
- A dialogue box will open.
- Select the type of document you would like to create.
- Choose the template to use (if one or more exist).
- The system will automatically display the workflow associated with the template (if applicable).
- Select the project this document will be associated with.
- Select the phase this document should be linked to. If no phase applies, choose "Global".
When creating a new document, even when using a customized template, Cerri Project automatically generates a document header to classify the document in the appropriate project and phase.
Document type | The type of document being created, such as "Contract" (like the example above). |
Document title | The document title. Mandatory. |
Project | The project the document belongs to.
This is the main identifier of the project. It can be the project name or name and code, depending on what has been defined in the General setup document of the [Projects] module. The project name and code are entered in the Project description document and are included in all of the project documents.
The label is a link that opens the corresponding "Project description" document directly. |
Phase | The phase the document is associated to. |
Project leader | The main project leader for the project (as opposed to project leader substitute) |
Status | Displays the current status if an associated workflow exists (e.g., "Draft") |
Action | If the current type of document has an associated workflow, action buttons display the current status and next possible statuses based on the workflow definition. For example, status can be changed to "To approve".
The action buttons are only displayed if you are responsible for the document in its current status, and have the authority to change it to the next status. |
Responsible | The person responsible for the document in its current status. |
Deadline | Visual indicators for the deadline:
- Red: Deadline passed.
- Orange: Deadline will not be met according to remaining time.
- Green: OK, deadline met or sufficient time remains

Version | Displays the version number of the document.
|
Modified on | The date and time of the last modification. By clicking on the date you can access the history of modifications. |
Last Comment | Displays the most recent comment made on the document. You can reply directly to the comment by clicking on "Reply" and create a new discussion by clicking on "New discussion". See "Collaborate with Project Live!" for more information. |
Document content: The [Content] tab
It consists of a rich text field for inputting relevant information or document description.
Manage attached files: The [Attachment] tab
Cerri Project allows users to attach any type of file to a generic document.
Note: In the case of a predefined document template, the generic document may already contain an attached file.
Attaching a file
- Navigate to the [Attachment] tab.
- Place the document in Edit mode.
- Click the "Choose file" button to browse and select a file.
- The file name of the selected document will be displayed next to the "Choose file" button however, the file is not yet saved in Cerri Project.
- Click "Save".
- The file is now saved in Cerri Project. The image below shows how the attached file is displayed on the Cerri Project page.
- The attached file is displayed with the icon representing its file type, its name and size. A marker on the [Attachment] tab indicates how many files are attached in total.
Opening and previewing an attached file
Attached files can be opened with their associated application (Adobe, Word, Excel...) simply by double clicking on them. In this case the system will download the file for viewing.
Deleting an attached file
- Open the document in Edit mode.
- Navigate to the [Attachment] tab and click the garbage icon next to the file.
- Save the document to finalize the deletion.
Editing an attached file
To edit an attached file:
- Detach the file from the generic document.
- Edit it locally.
- Re-attach the file to the generic document.
Managing Links between Documents
Dependencies and links can often exist between documents, for example, linking reference documents or agreements to master agreements. Linked documents are directly accessible in Cerri Project.
There are 3 types of links:
- "Links to": Links created by users to connect one document to another within Cerri Project.
- "External Links": Links created by users to external URLs outside of Cerri Project. Useful for creating links to external document references.
- "Incoming links": Links created by the system, representing logical connections between records (e.g., previous versions of a record or links between assignments). These can also include system-generated links corresponding to "Link to" entries.
Note: A label on the [Link] tab will indicate the number of links present.
Creating an Internal Cerri Project Link
Open the document from which the link will originate, in edit mode.
Navigate to the [Link] tab and click "Add New Link".
A dialog box will open where you can select the record(s) to link.
- Specify the type of document you are looking for in the "Document type" field.
- Specify the project in the "Project" field.
- Selected options will narrow down the list of choices for Section 1.
- Section 2 displays the selected documents. Click "Add" to validate the selection(s).
- The new links will appear in the document.
Deleting an Internal Cerri Project Link
Open the document containing the link, in edit mode.
Navigate to the [Link] tab and click the garbage icon next to the link to be removed.
Creating an external Link (URLs)
- Open the document in which the link will be created, in edit mode.
- Navigate to the [Link] tab and enter the URL in the "External Links" field.
- Click the plus icon to validate the entry.
- Cerri Project will verify the URL and save the link if valid.
Deleting an External Link
- Open the document with the link, in edit mode.
- Navigate to the [Link] tab.
- Select the link to be removed from the "External Links" section.
- Click the garbage icon next to the link.
Accessing a link
Simply click directly on the link to open the destination document or URL .
Document History Tracking
The history section of each document tracks changes, including creation, versioning, copying, and status updates. To access a document’s history record click on the icon on the top-right corner above the section line.
Note: The history of a record is also displayed in the [Project Live!] tab. See the chapter "Project Live!" for more information.
Share and Distribute Documents
Cerri Project's automatic distribution function ensures that information is shared and in real-time, saving time for users.
Each document includes its own distribution settings, defining who the document should be sent to or has been sent to. To access distribution settings, click on the icon, on the top-right side above the section line.

Manage Access to Documents (Security)
Cerri Project offers advanced security and access definition features for all documents, with both default and customizable settings. Default security settings can be setup at the system and project level.
To view access rights settings for a document, click on the icon on the top-right side above the section line.
Access rights are defined for each document author. By default, the name of the author is the name of the resource that created or modified the document. This field can be changes; for example, an assistant who wants to create a document for a supervisor can indicate their supervisor’s name as the author.
Write and Read access can also be set in for the project community:
Public: Accessible to anyone with system access.
Project: Accessible to all members of the project team.
Distribution: Accessible to resources specified in the document's "Distribution" list.
Private: Accessible only to the author(s).
Note: Access rights can also be defined based on business roles.
Searching for Documents and Content
Cerri Project’s "document" views in the [Documents] module, allow users to locate all documents that reside in the system, sorted by type, project, or phase.
Cerri Project's full-text search engine crawls through records and attached files based on search criteria. See the chapter "Searching in Cerri Project" for more information on how to use the search engine.
Remove a document from trash
To restore a trashed document:
- Navigate to "Setup Project" -> "Administration" and click [Trash] in menu.
- Select the document to restore.
- Select [Restore] from the Actions menu.
