Archive Setup (v10.xx)

Archive Setup (v10.xx)

Archiving is part of the project life cycle and can be performed at any time, regardless of the project's status. Existing project data is stored in a separate database, either to back up a project or to archive completed projects.

It requires creating an 'Archive' setup document in each 'Projects' module/database.

To create an 'Archive' setup document:

  1. Open the 'Setup & Administration' console of the concerned Project database/module.
  2. Navigate to the Setup tab, General view
  3. Click the Create menu and select Archive setup.

  1. Fill in the Archive setup document.
  2. Save the document.
Note: Only one 'Archive' setup document can be created per Projects database/module.

Archiving a Project

Manually

A project can be archived at any time.  Once a project is archived, it can be restored at any time. See the principles of the Archiving process for more information.

To archive a project:

  1. Open the project description.
  2. Click the Actions menu and select Archive.

  1. A dialog box will open asking if you would like to delete the original project after it has been archived.

  1. Make your choice and click Save to archive.
By Agent

If the archiving agent is active in the database setup, archiving can also be carried out via this background task. To do this:
  1. Select the relevant projects in the project view.
  2. Mark them using the ‘Mark to be archived’ action.
  3. These projects will then be archived the next time the agent is run.

Note: Completed and canceled projects should be archived promptly after completion to keep project and document lists as clear as possible.
