Access Templates (v10.xx)

Project templates are available to users when they are visible in the 'Portfolio' database, after the 'Refresh the list of projects' agent has been run. Project templates are visible to any resource with the [ViewTemplates] role in the Portfolio.

For the Project Leader to create a new project from a template, they must have at least read access to the given template. Without read access, they will not be able to view or copy the documents to the new project.

Options for accessing templates:


  1. Project templates are stored in the Template Database: All Project Leaders (Group) with the "View All" role, have read access to the templates.
  2. Project templates are stored in the Project Database: Project Leaders are assigned at least a "Reader" role within the Participants of the Template.
  3. Using the Crossed Portfolio: All Project Leaders are Managers of a named portfolio that fetches all project templates and grants read access to their Managers (hidden Participants).

If some Project Leaders are restricted from accessing certain templates, specific rights settings must be implemented in the project description of these templates.

  1. Click the Security icon in the bar.
  2. Set up 'Read Access' based on your requirements. For example, change the 'Read Access Type' to 'Private' and add specific Project Leaders that are allowed to use this template to 'Additional Readers'.

Note:  When specific rights have been set up at the 'Project Description' level, the Project Leader creating the project from the template must change the default 'Read Access Type' value back to 'Project,' in order to allow the project participants to view the 'Project Description' document.
