How to export task lists

Learn how to export your task list, project task list or assigned tasks list as a PDF file to have a snapshot of your current task list and progress.

The PDF file is like a screenshot of the task list.

  • Select the task list you want to export: whether My tasks, Assigned to or Project tasks in Task App or project Tasks in Project App

  • Click on the 3 vertical dots at the top right of the screen under your avatar.

  • Select Export as PDF

How to print task lists

Learn how to print your task list, project task list or assigned tasks list from a PDF file to have a snapshot of your current task list and progress.

The print out will be like a screenshot of the task list.

  • Select the task list you want to export: whether My tasks, Assigned to or Project tasks in Task App or project Tasks in Project App

  • Click on the 3 vertical dots at the top right of the screen under your avatar.

  • Select Print

How to view completed vs uncompleted tasks

Learn to view only the tasks that still need to be completed or view them alongside the ones that have been completed to assess overall performance and progress within a project or in general.  

These views can also be exported and/or printed.

  • On any task list view, whether My tasks, Assigned to or Project tasks in Task App or project Tasks in Project App

  • By default you will see only the tasks that still need to be completed.

  • To also view the tasks that have already been completed in the same category, click on Show completed tasks at the bottom of the screen

Or,

  • Click on the 3 vertical dots on the upper right under your avatar

  • Select Show completed tasks

Then,

  • Completed tasks will now appear in the list alongside uncompleted ones; the boxes on the left of their names will be ticked to differentiate them

  • To view only completed tasks again simply click on Hide completed tasks at the bottom of the screen or from the 3 vertical dots again.

How to view assigned tasks by assignee

Learn how to check on the task number and status of specific users you have assigned tasks to.

  • Go to Assigned to on the left menu in Task App

  • Click on the abacus icon at the bottom of the page to filter assignees

  • In the popup window, search for and select the assignee(s) you want to filter by

  • Press Filter to confirm selection and you will be left with a view of the tasks assigned to the selected assignee(s).

  • To cancel the filter follow the same steps and but this time, on the popup window, click the ‘x’ by the assignee’s name to remove them from the filter.

How to view general project status

The home page of Project App will give you a general overview of what needs to be done

  • The default page for Project App is the home page

  • If in a project to return home click on the house icon next to the project name at the top

  • Click on Active projects only on the top left of your Project App home page

  • Select All status, On track or Late depending on what status you wish to see

  • Only projects with the corresponding status will remain on the screen.

How to report on the general project progress

Learn how to export all projects and their progress by tasks as a graphic on an XLS file.

Only projects in which you are the Owner, a Lead or an Observer will be included in the exported file.

The graphic will show the proportion of completed, open and late tasks over total tasks per project.

  • Click on the Export all button at the top right of your Project App home page

  • On the popup window, click Include archived projects in export if you wish to include them in the report

  • If not, click Download

  • Your report will be ready to open as an XLS file

How to report on the progress of a project

Only projects in which you are the Owner, a Lead or an Observer can be exported.

The graphic will show the proportion of completed, open and late tasks over total tasks of the project.

  • Click on the 3 vertical dots on the bottom right corner of the project box you wish to get a report on  

  • Click on Export

  • Your report will automatically be downloaded and ready to open as an XLS file.
