How to assign tasks

Learn how to assign tasks to your other users and/or yourself.

Assignees who are not part of the project team will be assigned as a guest to the project.

When assigning a task to a user without a Cerri account, a license request will automatically be sent to your company’s Cerri admin.

  • Open the task card from Task or Project App

  • Click on the figure and ‘+’ icon on the right side of the task card by Assignees

Or,

  • Right click on a task line in Task App or Project App

  • Click on the Assign on the popup menu

Or,

  • Move your mouse over a task line in Task App or Project App

  • Click on the figure and ‘+’ icon from the right side of the task line

Or,

  • Select a task line in Task App or Project App

  • Click on the figure and ‘+’ icon on the Task Selected line appearing at the bottom of the screen.

Then,

  • In the pop up search the user(s) you wish to assign the task for.

  • You can also select yourself if you want to assign a task to yourself only, or together with other users.

  • As soon as you select at least 1 assignee you will be asked if you would like a reminder on this task. If you do, just click on Select and choose the date you wish to be reminded of this task on.

  • Click the blue Assign button to confirm and to generate a notification sent to the assigned users.

  • Assignees can be added by the task owner, contributor, observer and guest (if they are not project team members).

How to view and accept or decline assigned tasks

Learn how to view and accept or decline assignments.

Accepting an assignment will automatically add it to your task list. Declining it will erase it from your environment.

Accepting an assignment also indicates to the user assigning the task that it has been received and seen.

  • To view assigned tasks go to Incoming on the left menu of your Task App

  • Incoming will only appear on the left menu when you have new assigned tasks pending acceptance and the number on the right indicates how many

  • Double click the task (or one of the tasks) that are listed on the incoming view

  • After looking over the details simply click the green Accept button at the bottom to accept the task or Decline if you do not want to accept the assignment.

Or,

  • Move your mouse over the task (or one of the tasks) that are listed on the incoming view

  • Click on the green Accept button that appears on the right of the task line to accept the task or Decline if you do not want to accept the assignment.

How to comment on a task

Learn how to communicate actively on tasks you are collaborating on with others, tasks that were assigned to you or tasks you assigned to others.

  • Open the task card from Task or Project App

  • Click on the Start typing here area at the bottom left

  • Write the comment/question you wish to communicate with contributors to this task

  • Press Enter to send/share.

How to add files to a task

In order to add files to a task you need to be Project Owner or have created the task or have editing permission.

  • Open the task card from Task or Project App

  • Click on the green paperclip icon at the bottom left

  • Select Upload a file from your device to add a file

  • Select Add a file from a link to add a file link (such as from Google Drive, Sharepoint, Box and Dropbox)

How to flag a task as high priority

Learn how to flag a task to visually indicate to other user the priority of a task.

A red flag indicates high priority in a task.

To unflag a task is the same procedure as flagging it when it’s already red.

  • Open the task card from Task or Project App

  • Click on the flag icon on the top right-hand corner so that it turns red

  • Right click on a task line in Task App or Project App

  • Click on Flag as high priority from the popup menu

  • Move your mouse over a task line in Task App or Project App

  • Click on the flag icon on the right side of the task line

Or,

  • Select a task line in Task App or Project App

  • Click on the flag icon on the Task Selected line appearing at the bottom of the screen.

How to complete/uncomplete a task

Learn how to mark a task as completed once you are done so that it gets removed from your to-do task list and it gets communicated to the task owner (if it was assigned) or collaborator (if applicable).

  • Open the task card from Task or Project App

  • Click on the little box icon on the left of the Task name on the upper left corner of the card.

Or,

  • Locate the task line on Task App or Project App

  • Click on the little box icon on the left of the Task name.

Or,

  • Right click on a task line in Task App or Project App

  • Click on Mark as completed from the popup menu

Then,

  • A tick will appear on the box and the task card will close automatically and be stored for later viewing.

To mark a task back as uncomplete:

  • Select the Show completed tasks view on the bottom in Task App or Project App

  • Proceed as for completing a task; clicking the box again will make the tick disappear and automatically reinstate the task to your task list.

How to copy or duplicate a task

Copy a task to use as a template for a new one or simply duplicate it as a copy. You can only create copies within projects that you are the owner of or have editing permissions to.

  • Right click on a task line in Task App or Project App

  • Go to Edit on the popup and click Copy

  • Go to the project you wish to add the copied task to (if different)

  • Right click on the task list

  • Go to Edit on the popup and click Paste

  • The copied task will appear on this project task list

How to export task details

 

Export the task details of any of your tasks or tasks from a project you are a team member of as a PDF file.

  • Select a task line in Task App or Project App

  • Click on the 3 vertical dots on the right of the top column titles

  • Select Export as PDF from the popup menu

  • Your task details will be downloaded as a PDF document

How to print task details

Print the task details of any of your tasks or tasks from a project you are a team member of.

  • Select a task line in Task App or Project App

  • Click on the 3 vertical dots on the right of the top column titles

  • Select Print from the popup menu

  • Your task details will be downloaded into a PDF file ready to printed

How to delete a task

Learn how to delete a task.

You can only delete tasks that you have created or that were assigned to you.

You can only delete tasks no actual effort recorded.

  • Right click on a task line in Task App or Project App

  • Click on Delete from the popup menu

  • Click on the trash icon on the right side of the task line

  • Select a task line in Task App or Project App

  • Click on the trash icon on the Task Selected line appearing at the bottom of the screen.
